Over a three-month project, Oktana connected Salesforce, Microsoft Outlook through Microsoft Graph API, QuickBooks Online, Conga Composer, and Einstein AI-powered Intelligent Document Processing (IDP). The solution was designed to orchestrate invoice intake, document processing, order synchronization, financial updates, vendor communications, and shipment-related workflows through a connected integration layer.

The Challenge: Connecting Invoice, Order, and Shipment Workflows

The client needed to automate processes that crossed several business systems and operational steps.

Incoming documents and communications had to be processed and connected to the appropriate Salesforce Orders, while financial records and vendor communications needed to remain synchronized across systems.

The existing manual approach created several challenges:

The workflow begins with incoming invoice-related documents received through email.

Einstein AI Intelligent Document Processing was incorporated to classify documents and extract relevant information, reducing the amount of manual document handling required from operational teams.

The extracted information could then be evaluated against Salesforce order data as part of the automated processing flow.

Tiered Order-Matching Logic

Accurate order matching was a critical component of the solution.

Rather than relying on a single matching condition, the integration implemented tiered order-matching logic designed to identify the appropriate Salesforce Order while minimizing reconciliation failures.

This approach helped create a more resilient workflow for situations where incoming document information did not perfectly align with existing order data.

Intelligent Exception and Fallback Handling

Automation does not eliminate every exception, particularly when AI-powered document extraction produces low-confidence results.

To address this, the solution incorporated structured fallback routing for low-confidence IDP cases.

Instead of allowing uncertain data to move automatically through downstream processes, these cases could follow an exception path for additional handling. This created a controlled balance between automation and operational oversight.

Real-Time Financial Synchronization

Once the relevant information was processed and matched, the integration synchronized financial records between Salesforce and QuickBooks Online.

This reduced the need for duplicate data entry and helped maintain consistency between the CRM and accounting environments.

The API-led approach provided a centralized mechanism for coordinating these cross-system updates rather than requiring users to manually maintain records in multiple applications.

Automated Vendor Communication and Shipment Workflows

The solution also extended automation beyond invoice processing.

Using Conga Composer and integrated workflow logic, Oktana automated the generation of vendor order forms and supported follow-up communications related to vendor and shipment processes.

This connected order information with downstream vendor interactions, helping establish a more coordinated path from order management to shipment execution.
